Before proceeding with this topic, it is important to note that upgrades of the itBioPath system have resulted in each specimen in the itBioPath database being linked to a patient record that has assigned to it a unique HCI Person ID alias. That same alias is used to uniquely identify patients in CCR, and is planned to be used in several of Research Informatics' other databases. Each person, as the system is designed, is to be identified by the same HCI Person ID number in each database, and that means that the ID can be used to link records associated with the same person in the different databases. What this means for biospecimens is that any specimen that is added to itBioPath will automatically show up as a Specimen in that patient's CCR record. There is no need to add these specimens in CCR at all, and there is no longer any need to link specimens in CCR to specimens in itBioPath (formerly BST). The functionality for linking to a specimen in itBioPath remains, however, to deal with the rare case where a transplant is involved.

The following process allows you to manually add a new specimen to a patient record, linking it to a specific medical event at the same time, so that it will appear both in the patient record on the Labs tab and in the medical event record. The new specimen will not be linked to a sample record in itBioPath, and if the specimen is added to itBioPath at a later time, it will show up as a duplicate record in the patient record that will not have been linked to the medical event record. As a result, it is usually best to wait for specimens to be added to itBioPath and show up automatically in the patient record before establishing the link in the medical event record using the process described in Linking a Medical Event to an Existing Specimen in the Patient Record. The process described below, then, is for manually adding specimens to a medical event and patient record at the same time that will not be automatically imported to the patient record from itBioPath — probably because they won't be added to itBioPath at all.

To manually add a specimen to a medical event (and to the corresponding patient record):

1. Open the Medical Event Detail window for the medical event you want to associate with the specimen. See Viewing/Editing a Medical Event for instructions on how to do this.

2. Select the Details tab on that window.

3. Click on the + button above the Specimens grid on that tab. The Link Specimen to Medical Event window will open.

It is recommended that you check the Specimens grid on the Link Specimen to Medical Event window to make sure that the specimen you are adding has not already been added to the patient record. (If it has already been added to the patient record, you just need to link to it, rather than adding it — see Linking a Medical Event to an Existing Specimen in the Patient Record.)

4. Click on the + button above the Specimens grid on that window. The Add/Link Specimen window will open. See The Add/Link Specimen Window for a description of this window.

5. Select the Specimen Type and enter the Collect Date and — if applicable — the Alias Type and Alias in the fields located in the Step 1 — Enter CCR Specimen Data data box on the Add/Link Specimen window.

6. Click on the Add Specimen button to save the new specimen to the patient record. A dialog will open, indicating that the new specimen has been added to the patient record.

To close the Add/Link Specimen window without adding a sample to the patient record, click the Cancel button instead of the Add Specimen button.

7. Click OK to clear the dialog.

8. Repeat steps 5 through 7 for any additional specimens that might need to be added to the database (but not linked to itBioPath). You will need to close the window and start over if you want to link the medical event to a different specimen that has already been added to the patient record — see Linking a Medical Event to an Existing Specimen in the Patient Record. If you choose to add multiple specimens at this point, remember that all of the specimens entered will be associated both with the patient and with the medical event from which you initiated the process in the first place.

9. When you have added all of the specimens you need to, click the Cancel button to close the Add/Link Specimen window. The newly added specimens will be displayed both in the Specimens grid on the Medical Event Detail window and in the Specimens grid on the Labs tab of the corresponding patient detail window.
