The following process will add a medical event to a patient record that is linked to an encounter in the EDW. For instructions on how to add a medical event to a patient record without linking it to an EDW encounter, see Adding a Medical Event to a Patient Record. You may also establish a link between an already existing medical event record and an EDW encounter — see Linking a Previously Unlinked Medical Event Record to an EDW Encounter.

To add a medical event to a patient record and link it to the appropriate encounter in the EDW:

1. Open the patient detail record for the patient in question. See Viewing/Editing a Patient Record for instructions on how to do this.

2. Select the Medical Events tab.

3. Click on the + button above the Medical Events List grid on that tab. The Add/Link Medical Event window will open. Show me the Add/Link Medical Event window. See The Add/Link Medical Event Window for a description of this window.

4. Select the Event Type of the medical event in the appropriate field in the Step 1 — Enter Event Info data box on the Add/Link Medical Event window. Show me this field.

The Start Date in this data group is not required if you are going to link to an EDW Encounter, since this value will be automatically filled in when you establish the link.

5. Enter a range of dates in the Admit Date Range pair of fields inside the Search For UUHSC Encounters data group in the Step 2 — Link to UUHSC Encounters (Optional) data box. This range of dates indicates the range of dates to search the EDW for encounters of the type indicated in the Event Type field (see step 4 above) involving the patient.

6. Click on the Find UUHSC Encounters button. The UUHSC Encounter Search Results: (Select to link) grid will be populated with encounter records from the EDW of the indicated type involving the patient during the specified date range. Show me the UUHSC Encounter Search Results: (Select to link) grid.

7. Click on the row of the encounter to be linked to the patient record from those returned in the grid. The row will be highlighted in yellow.

If you do not select an encounter in the grid, when you click the Add / Link button, the medical event will be added to the patient record but it will not be linked to a corresponding EDW Encounter. If, however, you have not entered a Start Date (because you intended to get that from the EDW record) you will get an error message — see Common Error Messages below — because this information is required, either from the EDW or entered manually.

8. Click on the Add / Link button to add/link the medical event/encounter to the patient record. A dialog will open, asking you to verify that you want to establish the link.

To close the Add/Link Medical Event window without adding a medical event to the patient record, click the Cancel button instead of the Add / Link button.

9. Click Yes to confirm that you want to establish the link. The dialog will close and the medical event will be added to the patient record with a link to the indicated EDW record. The Medical Event Detail window for this newly created medical event will also open, allowing you to enter detailed information about the new medical event. See Viewing/Editing a Medical Event for additional information and topics related to entering detailed medical event information.
